Event Transport Cost Calculator

Enclosed trailer rental and transport for show attendance.

About this calculator

This calculator estimates the full cost of getting a classic car to a show or event and back, comparing three common transport approaches. A professional enclosed carrier is priced door-to-door at an illustrative per-mile rate with a minimum charge, reflecting that professional haulers typically price by distance with a floor to cover fixed dispatch and handling costs regardless of how short the trip is. Renting an enclosed trailer adds a daily rental fee (estimated from round-trip driving time plus a day for the event itself) to fuel costs for towing, since a loaded enclosed trailer meaningfully reduces a tow vehicle's fuel economy.

Owning a trailer amortizes its purchase price and insurance/maintenance across the number of events attended per year, on top of the same towing fuel cost -- which is why owning becomes progressively cheaper per trip as usage increases, while professional transport and rentals scale roughly proportionally with distance and frequency instead. On top of whichever transport method is chosen, this calculator adds illustrative hotel, meals, and event registration costs to arrive at a full per-event and per-mile figure, useful for comparing transport options or budgeting a show season.

Total cost per event

$1,070.00

Transport cost only$750.00
Hotel cost$150.00
Meals & incidentals$120.00
Annual event budget$4,280.00
All-in cost per mile$2.14
How to Use This Calculator
  1. Enter one-way distance in miles and select transport method (professional carrier, rented trailer, or own trailer).
  2. Set events per year and current fuel price per gallon.
  3. Review per-event transport cost and total annual transport expense.

How the result changes with One-way distance (miles)

One-way distance (miles)Total cost per event
125$695.00
188$884.00
375$1,445.00
625$2,195.00

What each input means

One-way distance (miles)
Distance from home to the event venue (one way). Round-trip is calculated automatically.
Transport method
Professional carriers are door-to-door but most expensive. Own trailer has highest upfront cost but lowest per-trip cost at high usage.
Events per year
Number of events you attend annually. More events = lower amortized cost if you own a trailer.
Fuel price ($/gal)
Current fuel price. Tow vehicles with loaded enclosed trailers typically get 6-10 mpg.
Hotel nights per event
Number of overnight hotel stays. Multi-day events or long-distance trips may require more.

What each result means

Total cost per event
All-in cost for one event: transport, hotel, meals, and registration.
Transport cost only
Cost of getting the car to the event and back (carrier, trailer, or fuel).
Hotel cost
Lodging expense at ~$150/night.
Meals & incidentals
Food and incidentals at ~$60/day.
Annual event budget
Total cost across all events for the year.
All-in cost per mile
Total event cost divided by round-trip miles.

How this is calculated

Worked example, using the default values

  1. Identify Input Parameters
    5 parameters
    One-way distance (miles) = 250, Transport method = 0, Events per year = 4, Fuel price ($/gal) = 3.75, Hotel nights per event = 1 = 5 input(s) provided
  2. Calculate Total cost per event
Total cost per event = transportCostPerTrip + hotelCost + mealsCost + registrationFee
    1070 = $1,070
  3. Calculate Transport cost only
    750 = $750
  4. Calculate Hotel cost
Hotel cost = hotelNights * hotelCostPerNight
    150 = $150

Frequently Asked Questions

When does owning a trailer become cheaper than renting or hiring a carrier?

Owning a trailer has the highest upfront cost, but each additional event attended per year spreads that fixed cost (and insurance/maintenance) across more trips, lowering the amortized cost per event. Professional carriers and rentals, by contrast, cost roughly the same per trip regardless of how many events you attend annually. The more events per year you attend, the more owning tends to favor you financially -- occasional attendees are usually better served by renting or hiring a carrier.

Why does a professional carrier have a minimum charge?

Professional enclosed transport companies incur largely fixed costs to dispatch a driver and rig for any job -- loading, paperwork, and route coordination -- regardless of how short the trip is, so they typically price with a floor that covers those costs even on a short haul. Beyond that minimum, cost scales with round-trip mileage.

Why does towing an enclosed trailer cost so much more in fuel than driving alone?

A loaded enclosed trailer adds significant aerodynamic drag and weight behind the tow vehicle, which meaningfully reduces fuel economy compared to driving unencumbered -- tow vehicles with a loaded enclosed trailer commonly see fuel economy in the single digits to low teens (mpg), well below their unloaded rating. This calculator's per-mile fuel estimate reflects that reduced mileage rather than the tow vehicle's normal fuel economy.

What isn't included in this cost estimate?

This calculator covers transport, lodging, meals, and a typical event registration fee, but not vehicle-specific costs like additional insurance for transporting a valuable classic car, tolls, or unexpected repairs to the tow rig or trailer. Those costs vary too much by vehicle value and route to estimate generically, so budget for them separately.
