About this calculator
This calculator builds a fully-loaded artist residency cost from the per-artist inputs up. Each artist's direct cost sums their weekly stipend, housing, and studio rent (each multiplied by residency duration in weeks) plus their flat materials and travel allowances; multiplying that per-artist figure by the number of artists in the cohort gives total artist costs. On top of that, admin staff time (weekly hours times hourly rate times residency weeks), a flat public-programs budget for open studios and lectures, and a utilities/insurance estimate (calculated as 15% of total housing and studio costs across the whole cohort) round out the total program cost for one cohort.
Dividing that total by artist count gives the fully-loaded cost per artist, and dividing again by residency weeks gives a weekly per-artist rate — useful for comparing residencies of different lengths on an apples-to-apples basis. The calculator also estimates annual capacity by assuming 48 usable weeks per year (allowing for facility downtime and transitions between cohorts) divided by residency length, rounded down to whole cohorts, then multiplied by artists per cohort to project how many artists the program can serve annually if cohorts run back-to-back with no gaps. That back-to-back assumption is the main thing to sanity-check against your actual calendar: real residency programs typically need buffer weeks between cohorts for cleaning, maintenance, and staff recovery, so the 48-week figure may overstate true annual capacity if your facility needs more turnaround time than that assumption allows.

How is the utilities and insurance estimate calculated?
It's 15% of total housing plus studio rent costs across the entire cohort — (housing per artist plus studio per artist) times number of artists times 0.15 — rather than a flat fee or a percentage of the whole program budget. Longer or more expensive residencies automatically carry a proportionally larger utilities and insurance estimate as a result.
Why might the annual capacity figure overstate what my program can actually run?
Annual capacity assumes 48 usable weeks per year divided by residency length, rounded down to whole cohorts, run back-to-back with zero gaps between them. Real programs typically need buffer weeks for cleaning, maintenance, and staff recovery between cohorts, so actual annual capacity will be lower if your facility needs more turnaround time than that.
What's the difference between per-artist direct cost and total program cost?
Per-artist direct cost covers only what's attributable to one artist: stipend, housing, and studio rent (each times residency weeks) plus flat materials and travel allowances. Total program cost adds admin staff time, the public-programs budget, and the utilities/insurance estimate on top of the summed per-artist costs across the whole cohort.
How does residency length change the cost-per-artist-per-week figure?
Cost per artist per week is the fully-loaded cost per artist divided by residency weeks, which normalizes for length so you can compare a 4-week residency against a 12-week one on equal footing. Since stipend, housing, and studio scale directly with weeks while materials and travel are flat per artist, longer residencies generally show a lower weekly rate as those flat costs get spread over more weeks.
