This calculator builds up the true cost of renting a theater, gallery, museum, or similar cultural venue line by line, rather than quoting a single flat number. It starts from a base rental rate assumed to cover the first five hours, then adds extra hours at your specified additional-hour rate; setup and teardown time is billed separately at half that hourly rate, reflecting how many venues discount non-event hours. Front-of-house staffing scales automatically with your guest count at one staffer per 50 attendees, and security cost is calculated across the full event window — rental hours plus setup/teardown — since security typically needs to be on-site before doors open and after they close. Custodial cleaning is estimated from guest count with a $150 floor, since even small events generate a minimum cleanup cost.

All of these roll up into a venue cost (everything except food and drink) and then a total event cost once per-person catering is added on top. Why doesn't the additional-hour rate apply until after 5 hours?

The calculator assumes the base rental rate already covers a standard 5-hour event block, which is typical for how many cultural venues price a single-day rental. Extra hours beyond that (rentalHours - 5, floored at 0) are billed at your specified additional-hour rate. If your venue's included block is shorter or longer than 5 hours, adjust the base rental rate input to reflect what it actually covers rather than trying to change this threshold.

Why is setup and teardown time charged at half the hourly rate instead of the full rate?

Setup and teardown hours are calculated as setupTeardownHours multiplied by the additional-hour rate and then by 0.5, reflecting a common industry convention that non-event hours (when no guests are present and fewer services are running) are discounted relative to hours the space is actively hosting the event. This is a modeling assumption, not a universal rule, so override the additional-hour rate input if your venue prices setup time differently.

How does front-of-house staffing scale with guest count?

The calculator assumes one front-of-house staffer per 50 guests, rounding up (so 151 guests requires 4 staffers, not 3.02), each paid a flat $22/hour for the full event duration. This staffing ratio is a planning benchmark rather than a fixed labor law requirement, so adjust your own event budget if your venue or event type needs denser or lighter staffing coverage.

What does the suggested rental price actually represent, and why divide by 0.6 instead of adding 40% to cost?

The suggested rental price divides total venue cost by 0.6, which is the standard way to solve for a price where cost is 60% of revenue — leaving a 40% margin on the sale price itself. Simply multiplying cost by 1.4 would only yield a 40% markup on cost, which works out to a smaller margin (about 28.6%) once expressed as a percentage of revenue.
