Exhibition Design Budget Calculator

Estimate exhibition design and fabrication budgets by gallery square footage, complexity level, and duration.

About this calculator

This calculator prices an exhibition the way museum planners actually build a budget: a per-square-foot cost band driven by design complexity, then split into standard line items. Complexity level sets the entire cost range — Basic art-on-walls installs run $50-80/sq ft, Standard built environments with cases and some AV run $100-175/sq ft, and Immersive builds with heavy AV and interactives climb to $200-400/sq ft. The calculator takes the midpoint of that range, multiplies by your gallery's square footage, and layers on your contingency percentage to get a total. From there it allocates the mid-estimate total across design & planning, fabrication & construction, AV/media, graphics & labels, lighting, and project management, using percentage splits that shift with complexity — for example, immersive exhibitions shift budget share from fabrication toward AV/media (25% vs.

5% for basic shows) since interactive media hardware and programming dominate those builds. It also amortizes the total into a cost-per-month figure over your planned run and estimates cost-per-visitor using a flat assumption of 4 visitors per square foot per year, scaled to your duration — a starting benchmark pulled from typical midsized-museum attendance, not a forecast for your specific venue's marketing reach or foot traffic. Because every number here comes from published cost bands (AAM, Smithsonian, and regional museum benchmarks) rather than a specific vendor quote, treat the output as a planning-stage range to test against real fabricator bids, not a final number for a signed contract. Actual costs vary significantly by region, union labor requirements, and how much existing infrastructure (walls, lighting rigging, AV backbone) the gallery already has.

How this is calculated

Worked example, using the default values

  1. Identify Input Parameters
    4 parameters
    Gallery area (sq ft) = 2000, Complexity level = 2, Exhibition duration (months) = 12, Contingency (%) = 10 = 4 input(s) provided
  2. Calculate Estimated budget
    Estimated budget = baseBudgetMid * contingencyMultiplier
    302500 = $302,500
  3. Calculate Budget
    Budget = baseBudgetLow * contingencyMultiplier
    220000 = $220,000
  4. Calculate Budget
    Budget = baseBudgetHigh * contingencyMultiplier
    385000 = $385,000

Frequently Asked Questions

Why does the cost per square foot vary so much between complexity levels?

Complexity level drives which line items dominate the budget, not just how much fancier the materials are. Basic installs are mostly labor and simple mounting hardware, so the $50-80/sq ft band mostly reflects fabrication and graphics. Immersive exhibits add heavy AV hardware, custom media programming, and built environments that require skilled trades, which is why the range jumps to $200-400/sq ft — the calculator reflects that by also shifting the AV/media budget share from 5% at Basic up to 25% at Immersive.

Why does a longer exhibition duration lower the cost-per-month figure but not the total budget?

The total budget (low/mid/high) is driven entirely by gallery square footage, complexity, and contingency — duration never enters that calculation. Cost per month is a separate, purely arithmetic view: it takes that same fixed total and divides it by however many months you plan to run the show, so a longer run amortizes the identical fixed cost over more months and brings the monthly figure down without changing what you actually need to raise or spend.

How is the low, mid, and high estimate different from just applying contingency to one number?

The low, mid, and high figures start from three different per-square-foot costs — the low, midpoint, and high end of your complexity level's published cost band — each multiplied by your gallery's square footage and then by the same contingency multiplier. So the spread between low and high isn't the contingency percentage; it's the underlying uncertainty in per-square-foot costs for that complexity tier, with contingency applied uniformly on top of all three.

What does the contingency percentage actually get applied to?

Contingency multiplies the entire base budget (square footage times cost per square foot) before that total gets split into the design, fabrication, AV, graphics, lighting, and project-management line items. So a 15% contingency doesn't sit as its own separate line — it's baked proportionally into every category, meaning the design and fabrication figures you see already include their share of the buffer.
