About this calculator
This calculator turns a set of budget-category percentages into actual dollar allocations and per-student efficiency figures. Each category budget (Instruction, Research, Student Services, Administration, Facilities, Financial Aid) is simply Total Annual Budget multiplied by that category's declared percentage -- straightforward arithmetic with no hidden weighting. Total Allocated sums all six percentages so you can check your inputs add up sensibly, and Unallocated is whatever share of Total Annual Budget is left over if the six percentages don't reach 100% -- and it goes negative, showing an explicit dollar deficit, if the six percentages together exceed 100%, rather than hiding an over-allocated budget behind a floor of zero. Cost per Student -- the headline output -- divides the entire Total Annual Budget by Total Students, independent of how that budget is split across categories; Instruction per Student does the same but using only the Instruction Budget slice.
Because Cost per Student depends only on Total Annual Budget and Total Students, none of the six category percentages move it at all -- changing how the budget is allocated internally doesn't change the overall per-student cost, only how the dollar categories beneath it are broken out. Growing Total Students always lowers Cost per Student for a fixed Total Annual Budget, since it's the divisor in that ratio, while growing Total Annual Budget always raises it in direct proportion. What it does not account for: real university budgets involve restricted funds, multi-year capital commitments, and enrollment volatility that a static percentage split can't capture, and headcount-based per-student figures don't distinguish full-time from part-time students the way full-time-equivalent (FTE) enrollment metrics typically do.

Frequently Asked Questions
Why doesn't changing Instruction (%) affect Cost per Student?
Cost per Student is calculated directly from Total Annual Budget divided by Total Students -- it measures the overall spending rate per enrolled student across the whole institution, not how that spending is internally categorized. Instruction (%) and the other five category percentages only determine how the already-fixed Total Annual Budget gets split into Instruction Budget, Research Budget, and the rest; reallocating between categories changes those individual budgets without touching the overall Cost per Student figure.
What happens if my six percentages add up to less than 100%?
Total Allocated shows the sum of Instruction, Research, Student Services, Administration, Facilities, and Financial Aid percentages, and Unallocated is calculated as whatever percentage remains, converted to a dollar figure. If your percentages sum to 90%, Unallocated shows 10% of Total Annual Budget as dollars not assigned to any of the six named categories -- useful for spotting an incomplete allocation before finalizing a budget proposal.
How is Instruction per Student different from Cost per Student?
Cost per Student divides the entire Total Annual Budget by Total Students, capturing total institutional spending per head. Instruction per Student instead divides only the Instruction Budget slice -- the dollar amount produced by Instruction (%) times Total Annual Budget -- by that same Total Students figure, isolating just the classroom-and-faculty portion of per-student spending from the institution's total spending rate.
Why compare Instruction % against a national average benchmark?
Instruction spending share is a commonly referenced efficiency and priorities benchmark in higher-education finance, since it reflects how much of an institution's budget reaches classroom instruction versus administration, facilities, or other overhead. Published sector figures (e.g. IPEDS/NCES finance data) vary substantially by institution type -- research universities, community colleges, and private four-year schools don't share one comparable figure -- so this calculator does not assert a single specific percentage as a universal benchmark; treat any comparison as a qualitative reference point against your own peer group, not a hard target.
What happens if my six percentages add up to more than 100%?
Unallocated ($) and Total Allocated (%) are not floored at zero, so an over-100% allocation shows up as a negative Unallocated figure -- an explicit dollar deficit -- rather than silently displaying $0 as if the budget were merely fully spent. A negative Unallocated value is the calculator's way of flagging that your six category percentages commit more of the Total Annual Budget than actually exists; reduce one or more percentages until Total Allocated (%) is at or below 100%.
