Corporate event AV rental is priced by the day, so this calculator builds Total AV cost from a daily rate for the main room, breakout rooms, and support services, then multiplies by Event days. AV tier is the single biggest lever near typical event lengths -- moving from Basic to Premium swings nearly every line item at once (display, audio, lighting, labor rates, and per-room breakout costs all jump together), which produces a bigger cost change than a comparable adjustment to almost any other single input. Event days matters just as much in the other direction: because every per-day cost compounds across each additional day, a long multi-day conference can out-cost a short but lavish one-day Premium event, so tier and duration are both worth checking, not just one or the other.

Frequently Asked Questions

Why does AV tier change the total so much more than adding a breakout room?

AV tier is not a single line item -- it simultaneously resets the display type (projector vs. LED wall), the per-microphone rate, the mixer and lighting costs, the per-room breakout rate, and even the technician's daily rate, all at once. Adding one more breakout room only adds one more room's worth of AV at the existing tier's rate, which is a comparatively small increase next to a tier change that touches every cost category in the estimate simultaneously.

Why would a longer event cost more than a higher-tier one?

Every daily cost in this calculator -- main room AV, technician labor, and breakout room AV -- gets multiplied by Event days, so the cost compounds with each additional day the equipment and crew are needed. A modest AV tier spread across a full week of a multi-day conference can add up to more than a single day of premium AV for a one-day event, because duration multiplies every recurring cost line while tier only resets the rates those lines use.

Why did the estimate jump when I only changed the attendee count slightly?

What does the Setup & strike fee actually cover?

Do Recording and Livestream add their own technicians?

Recording is assumed to be covered by the existing AV crew and equipment, priced as a flat daily add-on for the extra camera and editing workflow.
