About this calculator

This calculator builds an awards ceremony budget from nine line items -- venue, catering, bar service, trophies, stage/lighting/sound production, an emcee, decor, photography, and printed programs -- each scaled by guest count and formality level, then adds a 10% contingency on top of the subtotal. Guest count dominates the total budget by a wide margin over every other input, because venue, catering, bar, and decor costs all scale per guest or per table, while awards count and trophy cost only affect the trophies line item and formality mostly reshuffles per-guest rates rather than adding guests. Trophy cost scales directly with both the number of award categories (one trophy assumed per category) and the cost per trophy, independent of guest count.

Photography cost includes a base fee plus an hourly surcharge once the event runs past 3 hours, so longer ceremonies cost more to document. What this does not account for: sponsorship or ticket revenue offsetting the budget, and it assumes round tables seating 8 guests each for the decor and centerpiece calculation, which won't match a venue using long banquet tables or a different guest-per-table count.

Why does guest count affect the total budget so much more than formality or award categories?

Guest count multiplies through venue rental, catering, bar service, and decor -- four of the largest line items in the budget -- while award categories only changes the trophy cost and formality mostly reshuffles per-guest rates rather than adding attendees. A ceremony with more guests scales up almost every cost category at once, which is why it moves the total budget far more than any single other input.

How is the number of tables for decor calculated?

The calculator assumes round tables seating 8 guests each, rounding up to the next whole table (so 150 guests needs 19 tables, not 18.75). Decor cost is then that table count times a per-table rate that scales with formality level, since gala centerpieces cost noticeably more than a casual reception's simple table decor.

Why does photography cost increase for longer events?

Photography includes a flat base fee plus an hourly surcharge that only kicks in once the event runs past 3 hours -- shorter events pay just the base fee, while longer ceremonies add extra hours at a rate that's higher for black-tie galas than for casual or semi-formal events, reflecting the added coverage time a photographer or videographer bills for.

What does the 10% contingency cover, and can I remove it?

The 10% contingency is added on top of the subtotal of all nine budget line items to cover unexpected costs -- last-minute rentals, overtime staffing, or price changes between booking and event day -- a standard practice in event planning. This calculator always includes it in the total budget figure; there's no separate input to turn it off or adjust its percentage.
