Meeting room rental steps up in three tiers by group size ($500/$1,000/$2,000 per day) rather than scaling per person, since venues typically price rooms by capacity bracket, not headcount.

A flat $1,500/day facilitator fee and a $35/person swag budget (welcome bags, notebooks, branded items) round out the fixed costs, and the welcome dinner/reception line is priced higher for resort destinations ($95/person) than local or domestic retreats ($55/person), reflecting the higher expectations at a destination event.
