About this calculator
This calculator sizes office space needs from headcount and workplace policy rather than a fixed square-footage rule of thumb. Desks Needed starts from Number of Employees and applies Desk Utilization -- the share of employees expected in the office on a peak day -- rounded up, so a 100% utilization rate means one desk per employee (no hot-desking) while a lower rate reflects a hybrid or hot-desking policy where fewer desks are needed than headcount. Usable Area multiplies Desks Needed by SF per Employee, and Total Area Needed adds Common Area Factor on top to account for lobbies, restrooms, hallways, and other space that isn't dedicated workstation area.
Desk Sharing Ratio (Number of Employees divided by Desks Needed) shows how many employees share each desk on average -- it's always 1.0 or higher in this model, since Desks Needed can never exceed Number of Employees. Future Headcount and Future Area Needed separately project space requirements forward using Annual Growth Rate compounded over Planning Horizon, useful for negotiating a lease term that won't require a mid-lease expansion. Desk Utilization and Common Area Factor are policy choices your organization sets, not fixed constants -- treat the 150 SF/employee and 15-25% common-area defaults as commonly-cited starting points, not requirements, since actual space programming standards vary by industry, workplace design, and local building code.

Frequently Asked Questions
Why doesn't Annual Growth Rate change Total Area Needed?
Total Area Needed is sized to your CURRENT Number of Employees -- it answers 'how much space do I need today.' Annual Growth Rate and Planning Horizon only feed into the separate Future Headcount and Future Area Needed figures, which project forward for lease-term planning. If you want to lease for future growth rather than current headcount, use Future Area Needed instead of Total Area Needed when negotiating.
What does a Desk Sharing Ratio of 1.25 mean?
It means, on average, 1.25 employees are assigned to each desk -- a hot-desking or hybrid-work setup where not everyone is in the office simultaneously. This ratio is always 1.0 or above in this calculator: 1.0 means exactly one desk per employee (no sharing, appropriate for a fully in-office, assigned-seating policy), and it rises above 1.0 as Desk Utilization drops below 100%.
Is 150 SF per employee the right number for my office?
It's a commonly cited planning figure for general office/workstation space, but actual usable square footage per employee varies significantly by industry, whether offices are private or open-plan, and local workplace design trends (dense open-plan layouts can run well under 150 SF, while private-office-heavy layouts commonly reach 250 SF or more). Use a figure informed by your actual space program or a commercial real estate broker's guidance for your specific plan.
How is Common Area Factor applied?
It's added as a percentage on top of Usable Area (the sum of all workstation space) to produce Total Area Needed, representing space that supports the office but isn't assigned desk space -- lobbies, restrooms, hallways, kitchens, and circulation. A typical range is 15-25%, though it can run higher for offices with substantial meeting room or amenity space.
What isn't this calculator accounting for?
It doesn't size dedicated meeting room, conference, or collaboration space beyond what's folded into Common Area Factor, doesn't account for specialized space needs (server rooms, labs, storage), and assumes a single uniform SF per Employee figure across all roles rather than a mix of private offices and open workstations. Use this as a starting-point estimate for lease negotiations, then refine with an actual space program from an architect or workplace strategist.
