About this calculator

Nonprofits report volunteer time in two currencies: raw hours, and the dollar value those hours represent when volunteers do work the organization would otherwise have to pay for. This calculator converts Hours Per Week and Active Weeks Per Year into Annual Hours for one volunteer, then multiplies by Number of Volunteers to get Total Team Hours/Year across your whole program. Economic Value applies Independent Sector's published national average value of volunteer time -- a figure the organization updates annually from wage data -- to Total Team Hours/Year, giving a dollar estimate suitable for grant reports and annual reports where funders want volunteer contribution expressed alongside cash revenue.

Hours Per Week and Active Weeks Per Year both scale Annual Hours directly and equally, since it's their product; Number of Volunteers has no effect on Annual Hours or Monthly Hours at all, because those are deliberately reported per person, and only enters the calculation at Total Team Hours/Year, Economic Value, and Full-Time Equivalent, which scale your one-person figures up to the whole program. Full-Time Equivalent divides Total Team Hours/Year by 2,080 (the standard hours in one full-time work-year) so you can describe your volunteer program's scale in staffing terms funders recognize -- "our volunteers contributed the equivalent of 1.2 full-time staff" reads very differently than a raw hours total. What this calculator does not capture is skilled versus unskilled volunteer time: Independent Sector's rate is a single national average across all volunteer activities, so a program built on specialized professional volunteering (legal aid, medical care) likely understates its true replacement cost using this figure alone.

Why doesn't adding more volunteers change my Annual Hours number?

Annual Hours (and Monthly Hours) are reported per person on purpose -- they answer "how much does one volunteer contribute in a year," using only Hours Per Week and Active Weeks Per Year. Number of Volunteers scales that per-person figure up separately, at Total Team Hours/Year, Economic Value, and Full-Time Equivalent, so you can see both the individual contribution and the program-wide total without one obscuring the other.

Where does the dollar figure in Economic Value come from?

It's Total Team Hours/Year multiplied by Independent Sector's published national average value of volunteer time, a rate the organization recalculates and releases annually from current wage data. Because it updates yearly, treat Economic Value as a current-year estimate rather than a fixed constant -- the same hours logged in different years will value out slightly differently as the underlying rate changes. The rate this calculator applies is shown as its own output, Value per Volunteer Hour, so you can cite both the rate and its release year alongside the dollar total in a grant report.

What does Full-Time Equivalent actually mean for a volunteer program?

It converts Total Team Hours/Year into a staffing-style comparison by dividing by 2,080, the standard number of hours in one full-time work-year (40 hours a week for 52 weeks). A result of 1.5, for example, means your program's total volunteer hours add up to roughly one and a half full-time staff positions worth of labor -- a framing many funders and boards find easier to evaluate than a raw hours total.

Is Economic Value the true cost my nonprofit would pay to replace this work?

Treat it as a broad estimate, not a precise replacement cost.
