About this calculator
This calculator translates the raw arithmetic of digital storage into a photography business expense. It multiplies images per client by average file size by active client count to get total megabytes, converts that to gigabytes, and then multiplies by your per-GB monthly hosting rate to get a monthly cost — which is annualized by multiplying by 12. From there it divides the annual cost by client count and by total images to show cost per client and cost per image, so you can see how storage overhead scales as your client roster or gallery sizes grow. The number that surprises most photographers is how much file format matters: a JPEG-only delivery gallery at 5-10MB per image costs a fraction of what a RAW-inclusive gallery at 25-50MB per image costs, since the model is linear in file size.
Doubling average file size doubles storage cost outright, with no efficiency gained at scale. This is why many studios cull aggressively before upload and deliver only finished JPEGs rather than RAW files, even when clients ask for "everything." Keep in mind this model treats storage as static for the full retention period — it doesn't account for tiered pricing, egress/bandwidth fees, or hosting platforms that bundle storage into a flat per-photographer subscription rather than charging per GB. If your gallery host (Pixieset, ShootProof, SmugMug, etc.) uses a flat-fee plan instead of true per-GB billing, treat this calculator's output as a ceiling estimate for negotiating or comparing against a pay-as-you-go alternative, not a literal invoice prediction. Frequently Asked Questions
Does the Retention Period input actually change the storage total or annual cost?
No — retention period is captured for context, but the calculator always annualizes monthly cost by multiplying by 12 months regardless of what you enter there. If you plan to offer galleries for more or less than a year, multiply the Monthly Cost output by however many months of retention you actually intend to provide instead of relying on Annual Cost directly.
How much more does storage cost if I deliver RAW files instead of JPEGs?
Since total storage scales linearly with average file size, moving from a JPEG-only gallery at 5-10MB per image to a RAW-inclusive gallery at 25-50MB per image can multiply your storage cost by roughly 3-5x for the same image count and client roster, entirely because of the Average File Size input. There's no volume discount built in — doubling file size always doubles cost.
Why is Cost per Image so much smaller than Cost per Client?
Cost per Image divides annual cost by both image count and client count, while Cost per Client divides only by client count — so the per-image figure is naturally the smaller of the two even though both are derived from the same underlying annual total. They're just two different ways of slicing the same overall storage expense.
My gallery host charges a flat monthly subscription instead of true per-GB billing — is this calculator still useful?
Yes, but treat its output as a comparison ceiling rather than a literal invoice: it computes what pure per-GB pricing would cost for your actual usage so you can weigh that figure against your flat-fee plan and decide whether switching, upgrading, or negotiating a different tier makes financial sense.
