Conference Badge Calculator

This calculator prices out conference badges across three tiers — basic clip badges at $0.50 each, lanyard badges at $1.25 (lanyard cost already bundled into that price), and smart/RFID badges at $4.50 — reflecting the real cost jump from simple printed cardstock to electronics-embedded credentials used for session tracking or lead retrieval. A separate lanyard charge of $1.50 only applies when using RFID badges, since the basic and standard lanyard tiers already have their lanyard cost folded in or omitted. Custom full-color printing adds a flat $0.75 per badge plus a one-time $150 design and proofing setup fee — a real cost most badge vendors charge for artwork layout and a physical proof round, so toggling this off only makes sense if you're using blank or pre-printed stock.

Every quantity calculated (badges, lanyards, printing, holders at $0.30 each) is based on Total Badges, which automatically pads your entered Attendee Count by 5% — a standard buffer for last-minute registrations, walk-ins, and badge replacements/reprints during the event, so you don't need to add your own overage margin on top of this. Shipping is a lightweight estimate ($0.05 per badge plus a $15 base) reflecting how little badges weigh compared to bulkier event materials, but it won't capture rush shipping fees if your order is placed close to the event date — order early enough to avoid paying a premium for expedited printing and delivery.
