Localization Cost Calculator

Estimate translation and localization costs based on word count, language pair difficulty, deadline urgency, and subject specialization.

About this calculator

Professional translation is usually priced per source word, but the base per-word rate is only the starting point — this calculator layers on two independent surcharges to build a realistic quote. It starts with a base rate that depends on Language Pair Difficulty (common pairs like English-Spanish are cheaper to source than rare ones like English-Japanese, since fewer qualified translators are available for rarer pairs), multiplies by Word Count for the base cost, then adds an Urgency Surcharge for tight deadlines and a Specialist Surcharge for technical, legal, or medical content that requires subject-matter expertise. Word Count scales every dollar figure proportionally, and the base per-word rate itself roughly triples from the common-pair tier to the rare-pair Language Pair Difficulty tier — so getting the difficulty level right matters just as much as getting the word count right.

The two surcharges are calculated independently from each other and both from the base cost, not compounded together, so a rush technical translation adds both surcharges' dollar amounts rather than multiplying them against each other. What this doesn't account for is translation memory discounts for repeated or previously-translated content, minimum project fees many agencies charge regardless of word count, or desktop publishing and formatting costs if the localized text needs to fit back into original layouts — treat this as a translation-only estimate, not a full localization project quote.

How to Use This Calculator
  1. Enter the source text Word Count for the project.
  2. Select the Language Pair Difficulty — common pairs cost less per word than rare ones.
  3. Set the Deadline (days); anything under 3 days adds a rush surcharge.
  4. Choose the Specialization Level — technical or legal/medical content adds a subject-matter surcharge.
  5. Review Total Cost and Effective Cost per Word for the full quote breakdown.

How the result changes with Word Count

Word CountBase Translation CostTotal Cost
2,500$250.00$250.00
3,750$375.00$375.00
7,500$750.00$750.00
12,500$1,250.00$1,250.00

What each input means

Word Count
Total number of words to be translated.
Language Pair Difficulty
How common the language pair is for translators — rarer pairs command higher per-word rates.
Deadline (days)
Number of days until delivery. Under 3 days adds a 50% rush fee.
Specialization Level
Subject-matter specialization required — technical and legal/medical content commands a surcharge.

How this is calculated

Worked example, using the default values

  1. Identify Input Parameters
    4 parameters
    Word Count = 5000, Language Pair Difficulty = 1, Deadline (days) = 7, Specialization Level = 1 = 4 input(s) provided
  2. Calculate Base Translation Cost
    Base Translation Cost
    500 = $500
  3. Calculate Total Cost
    Total Cost
    500 = $500
  4. Calculate Urgency Surcharge
    Urgency Surcharge
    0 = $0
  5. Calculate Specialist Surcharge
    Specialist Surcharge
    0 = $0

Frequently Asked Questions

Do the urgency and specialist surcharges stack multiplicatively?

No — both surcharges are calculated as separate percentages of the base translation cost and then added together, not multiplied against each other. A rush legal translation adds the urgency surcharge amount plus the specialist surcharge amount to the base cost, rather than compounding one surcharge on top of the other.

Why does language pair difficulty matter for the price?

Rarer language pairs have a smaller pool of qualified translators, which pushes market rates higher — the same logic as any specialized labor market. A common pair like English-Spanish typically has abundant translator availability and lower rates, while a rare pair like English-Japanese commands a premium simply because fewer people can do the work well.

How many days do I need to avoid the rush surcharge entirely?

This calculator applies a 50% surcharge under 3 days and a 25% surcharge for 3 to 6 days; at 7 days or more, no urgency surcharge applies at all. Translators typically need this lead time to maintain quality and consistency rather than compressing the review process, so building in a week or more of turnaround avoids the rush pricing entirely.

Is the specialist surcharge the same for technical and legal/medical content?

No — this calculator applies a 20% surcharge for technical content like IT or engineering documentation, and a larger 50% surcharge for legal or medical content, which typically demands more specialized certification, higher accuracy stakes, and a smaller pool of qualified subject-matter translators.
