About this calculator

This calculator estimates what it costs to fully equip a PE program based on your largest class size and how many activity types you offer. It works from a fixed internal catalog of ten common equipment categories (basketballs, soccer balls, volleyballs, footballs, jump ropes, cones, pinnies, hula hoops, mats, and resistance bands), each with a typical unit cost and a sharing ratio — how many students one item can serve at once (for example, one basketball per two students). Increasing "Activity Types Offered" simply pulls more categories from that list in the order they're defined, so it's a proxy for curriculum breadth rather than a menu you choose from directly. For each included category, the calculator computes how many units are needed to serve your largest class simultaneously (students divided by the sharing ratio, rounded up) and multiplies by unit cost to get that category's outfit cost; summing across categories gives the total initial equipment investment.

The annual replacement cost is not derived from each item's individual lifespan — instead it applies your entered "Annual Replacement %" directly against the total initial cost, so a higher replacement percentage always scales the yearly figure proportionally. Budget coverage (in years) divides your entered annual budget by that replacement cost, and cost-per-student divides it by your total daily student throughput (class size times sections per day). Storage space is a rough rule of thumb of half a square foot per item. Because the equipment list and unit prices are fixed averages, treat every dollar figure as a starting estimate to adjust against your district's actual vendor pricing and curriculum mix.

Why doesn't "Activity Types Offered" let me pick which equipment categories I actually use?

The calculator pulls from a fixed, ordered list of ten equipment categories (basketballs, soccer balls, volleyballs, footballs, jump ropes, cones, pinnies, hula hoops, mats, resistance bands) and simply takes the first N of them, where N is your entered Activity Types Offered. It's a proxy for curriculum breadth rather than a menu — if your program's equipment mix doesn't match that fixed order, treat the totals as a rough starting point and adjust manually.

How is Annual Replacement Cost different from each item's individual lifespan?

Each equipment category does have its own lifespan built into the underlying data (basketballs at 3 years, soccer balls at 2, cones at 5, and so on), but the Annual Replacement Cost output doesn't use those figures directly — it applies your entered Annual Replacement % against the total initial outfit cost as a single flat rate. So doubling the replacement percentage always doubles the annual cost, regardless of how long individual items are expected to last.

Why might Budget Surplus/Deficit come back negative?

It's simply your entered Annual Budget minus the calculated Annual Replacement Cost. A negative result means your budget percentage-based replacement estimate exceeds what you've allocated — either your Annual Replacement % is set too high for your budget, or your budget genuinely needs to grow to sustain that replacement rate.

How is the storage space estimate calculated?

It's a flat rule of thumb of 0.5 square feet per piece of equipment, applied to the total number of units needed across all selected categories. It doesn't account for irregular shapes (a basketball needs more real storage volume than a jump rope), so use it as a rough sizing guide rather than an exact storage-room specification.
