Access Control Budget Calculator

Electronic access control cost from door count and features.

About this calculator

This calculator estimates the full installed cost of an electronic access control system across four common hardware tiers — standalone keypad, networked card reader, biometric, and mobile/cloud — each with its own per-door reader cost, controller cost, and credential cost that reflect real market differences between these system classes. Standalone keypads are the cheapest and simplest, needing no central controller since each keypad manages its own door independently, while networked card readers add a shared controller (typically covering up to four doors per controller) and per-card credential costs, biometric readers command the highest hardware price for the added security of fingerprint or facial recognition, and mobile/cloud systems trade lower upfront hardware cost for an ongoing monthly subscription per door instead of one-time software licensing. Every tier adds a fixed per-door cost for electric strike or magnetic lock hardware and a shared power supply sized per four doors, since a single supply typically can't drive more locks than that reliably.

Cabling cost only applies when new low-voltage wiring is needed — if wiring is already in place, that line item drops to zero — and where it does apply, it's estimated per linear foot of cable run per door. Installation labor scales with both door count and system complexity: biometric systems take the longest to install and configure per door, standalone keypads the shortest. What this doesn't capture: permit and inspection fees, which vary by jurisdiction; integration costs with existing fire alarm, elevator, or building management systems; volume discounts on hardware for large multi-door projects; and ongoing maintenance or support contracts beyond the cloud subscription fee shown for mobile/cloud systems.

How to Use This Calculator
  1. Enter the Number of doors requiring electronic access control and select the System type.
  2. Set Reader count and Avg cable run (ft), and select whether Existing wiring is already in place.
  3. Enter the number of Credentials / cards needed (card-based systems only).
  4. Review the total project cost and cost per door to compare with customer budget.

How the result changes with Avg cable run (ft)

Avg cable run (ft)Total project cost

38$5,113.00
75$5,335.00
125$5,635.00

What each input means

Number of doors
Total door openings to be controlled with electronic access.
System type
The category of access control hardware being installed.
Reader count
Number of readers (at least one per door, sometimes in + out per door).
Avg cable run (ft)
Average distance from controller to each door in feet.
Existing wiring?
Whether low-voltage wiring is already in place at each door.
Credentials / cards
Number of key cards or fobs to purchase (card-based systems only).

What each result means

Total project cost
Complete installed cost including hardware, cabling, software, and labor.
Hardware cost
Readers, controllers, electric locks, power supplies, and credentials.
Cabling cost
Low-voltage cable installation if new wiring is required.
Software cost
Access control management software (one-time license).
Installation labor
Professional installation labor at $85/hr.
Cost per door
Average total cost per controlled opening.
Monthly recurring
Cloud subscription fees (mobile/cloud systems only).
Annual recurring
Yearly cloud subscription cost.

How this is calculated

Worked example, using the default values

  1. Identify Input Parameters
    6 parameters
    Number of doors = 4, System type = 2, Reader count = 4, Avg cable run (ft) = 50, Existing wiring = 0, Credentials = 50 = 6 input(s) provided
  2. Calculate Total project cost
Total project cost = hardwareSubtotal + cablingCost + softwareTotal + laborCost
    5185 = $5,185
  3. Calculate Hardware cost
    Hardware cost = readerCost + controllerCost + lockHardwareTotal + powerSupplies + credentialTotal
    3065 = $3,065
  4. Calculate Cabling cost
    Cabling cost = existingWiring ? 0 : cableRunFt * 1.5 * doors
    existingWiring=0 ? 0 : 50 * 1.5 * 4 = $300

Frequently Asked Questions

Why does system type change the cost so much more than door count alone?

System type sets the per-door reader cost, the shared controller cost, the software licensing fee, and the credential unit cost all at once, so moving from a standalone keypad to a biometric system multiplies several cost components simultaneously rather than changing a single line item. Door count then scales whichever tier's costs you've selected, which is why the same door count can produce a very different total project cost depending on which system type you choose.

Why is cabling cost sometimes zero?

Cabling cost only applies when new low-voltage wiring needs to be run from the controller to each door — if your building already has appropriate wiring in place (common in a renovation of a previously wired security system), that cost drops to zero regardless of how long the cable runs would otherwise be. Toggling existing wiring off will restore the cabling estimate based on your entered cable run distance and door count.

Why do mobile/cloud systems show a monthly recurring cost that other systems don't?

Mobile and cloud-based access control systems typically replace a one-time software license purchase with an ongoing per-door subscription fee that covers hosting, app access, and remote management — this calculator models that as a monthly recurring charge multiplied by door count, alongside a lower one-time software cost of zero. Standalone, networked card, and biometric systems in this model instead carry a one-time software or license cost with no recurring monthly fee.

Does the credential cost apply to every system type?

No — credential cost in this calculator only applies to card-based systems, since standalone keypads use a shared PIN code rather than individual physical credentials, and biometric and mobile/cloud systems authenticate with a fingerprint, face scan, or phone rather than a purchased card or fob. If you select a non-card-based system type, the credentials field won't add to your total project cost even if you leave a nonzero credential count entered.
