Group Block Calculator
Manage room blocks with attrition tracking, pickup projections, and displacement cost analysis.
About this calculator
This calculator projects revenue and risk from a hotel group room block using six inputs. Group Revenue only responds to how many room nights actually get picked up -- Rooms Blocked, Nights Blocked, and Expected Pickup all move Expected Pickup room nights (and therefore Group Revenue) by roughly the same share, while Attrition Allowance and Transient BAR Rate play no role in it at all, since revenue is booked purely on what the group actually consumes at the negotiated Group Rate.
Expected Pickup has an outsized effect on two other figures: it swings Released Room Nights by roughly three times as much as an equivalent percentage change in Rooms Blocked or Nights Blocked, since a lower pickup rate directly shrinks how many blocked nights convert to revenue; and it swings Attrition Penalty Risk by several times as much as an equivalent move in Attrition Allowance, because both terms subtract directly from the same 100%-of-block baseline, but pickup typically sits much further from that baseline than the allowance does. Transient BAR Rate never affects Attrition Penalty Risk, Total Room Nights Blocked, or Expected Pickup room nights -- it only enters the displacement analysis, which compares what the group rooms would have earned at the going transient rate.

How to Use This Calculator
- Enter the number of Rooms Blocked and Nights Blocked for the group.
- Set the Group Rate and Expected Pickup percentage.
- Enter the Attrition Allowance (%) and the Transient BAR Rate for displacement comparison.
- Review Group Revenue, Expected Pickup room nights, Released Room Nights, and the displacement cost vs. group revenue.
How the result changes with Rooms Blocked
| Rooms Blocked | Group Revenue |
|---|---|
| 25 | $6,720.00 |
| 38 | $10,320.00 |
| 75 | $20,280.00 |
| 125 | $33,720.00 |
What each input means
- Rooms Blocked
- Number of rooms in the group block per night.
- Nights Blocked
- Number of nights the block covers.
- Group Rate
- Negotiated group rate per room per night.
- Expected Pickup
- Percentage of blocked rooms expected to be used.
- Attrition Allowance
- Percentage of block that can go unused without penalty.
- Transient BAR Rate
- Best available rate for transient guests.

Frequently Asked Questions
Why doesn't Attrition Allowance affect Group Revenue?
Group Revenue is calculated purely as Expected Pickup room nights times Group Rate -- Attrition Allowance only determines the threshold for a penalty on rooms that go unused, and never enters the revenue formula itself. Transient BAR Rate is excluded for the same reason: it only matters for the separate displacement analysis.
Why does Expected Pickup move Released Room Nights so much more than Rooms Blocked does?
Released Room Nights is the share of the block that goes unused, and lowering Expected Pickup directly increases that unused share. At this calculator's default 75% pickup rate, a percentage-point move in Expected Pickup shifts Released Room Nights about three times as much as an equivalent percentage move in Rooms Blocked or Nights Blocked, which only scale the total block size rather than the unused fraction.
How does Expected Pickup compare to Attrition Allowance in driving Attrition Penalty Risk?
Attrition Penalty Risk is triggered when actual pickup falls short of 100% minus Attrition Allowance. Because Expected Pickup and Attrition Allowance both subtract from that same baseline but Expected Pickup typically sits further from it at realistic inputs, a percentage-point move in Expected Pickup shifts the penalty several times more than an equivalent move in Attrition Allowance.
What does Transient BAR Rate actually affect?
Transient BAR Rate only feeds the displacement analysis -- Rate Displacement Cost and Group Discount -- which estimates what the released rooms could have earned at the going rate for individual bookings. It has zero effect on Group Revenue, Total Room Nights Blocked, Expected Pickup, or Attrition Penalty Risk.
Does Attrition Allowance affect Group Discount?
No. Group Discount is calculated purely from Transient BAR Rate and Group Rate -- the percentage gap between what a transient guest would pay and what the group negotiated. Attrition Allowance, Rooms Blocked, and Nights Blocked have no effect on this percentage at all.
