Party Rental Calculator

This calculator prices out a full event rental package — tables, chairs, linens, and an optional tent — starting from nothing but your guest count. It applies the standard industry ratio of eight guests per 60-inch round table (rounding up, since a fraction of a table still needs a whole table) to derive how many tables you need, then assumes one chair per guest and one tablecloth per table. Multiplying each quantity by your entered per-item rate, and adding the tent's square footage times its per-square-foot rate (set it to zero if no tent applies), gives the equipment subtotal. A damage waiver fee — the insurance-like charge rental companies add to cover breakage — is calculated as a percentage of that full equipment subtotal, which includes the tent line along with tables, chairs, and linens; only the delivery/setup fee sits outside the waiver base. The waiver rate is capped at 20% here even though real-world quotes rarely exceed 12%.

The delivery/setup fee itself is a flat add-on, unaffected by guest count. The final total rolls equipment, waiver, and delivery together and divides by guest count for an easy per-person comparison across venues or vendors. Because table math rounds up rather than truncating, small guest counts near a table's capacity (say, 65 guests) will show one more table than a naive division would suggest — that's intentional, since you can't rent a fraction of a table, but it means costs can jump in visible steps rather than scaling perfectly smoothly with headcount. If you're renting a large tent, remember its cost flows straight into the waiver calculation too, so a bigger tent raises not just the equipment line but the insurance charge layered on top of it.
