About this calculator
Every event follows a rough sequence of blocks -- arrival, a main program, food, and a wind-down -- and this calculator generates that sequence as clock times rather than just relative durations, so you have a schedule you can hand to a venue or vendor. Event Type sets which four segments apply and roughly how long each one runs: a wedding moves through Ceremony, Cocktail Hour, Dinner, and Dancing & Celebration, while a corporate event instead runs Networking, Presentations, Dinner, and a Social Hour, since the two event types have genuinely different structures rather than just different labels on the same template. Formality Level then adjusts how long each of those segments runs within whichever event type you've chosen -- a Formal/Black Tie wedding gets a longer ceremony, cocktail hour, dinner, and dancing block than a Casual one, reflecting that more formal events typically allow more time per segment. Event Start Time only shifts every segment's clock time together; it has no effect on Total Duration, since Total Duration is the sum of the four segment lengths, and those lengths come entirely from Event Type and Formality Level, not from what hour you start at.
That means a 2:00 PM wedding and a 6:00 PM wedding at the same Formality Level always run the same total length -- only the clock times printed in each segment shift. What this calculator does not do is account for guest count, venue-specific logistics (room turnover time, travel between ceremony and reception sites), or vendor setup/teardown windows -- treat the segments as a planning skeleton to confirm with your venue and vendors, not a locked-in schedule. A late Event Start Time combined with a long Total Duration can push a segment or the End Time past midnight; when that happens the printed clock time carries a "(next day)" marker so a vendor reading the schedule isn't handed an ambiguous "12:30 AM" with no indication of which calendar day it falls on.

Frequently Asked Questions
Does changing my Event Start Time change how long the event runs?
No -- Total Duration is fixed by Event Type and Formality Level alone, since it's the sum of the four segment lengths those two inputs determine. Changing Event Start Time shifts every segment's start and end clock time together, so a 2:00 PM start and a 6:00 PM start at the same Event Type and Formality Level produce identical total lengths, just printed against different hours.
Why do a wedding and a corporate event have completely different segment names?
Because they follow genuinely different structures, not just different labels on the same four-block template. A wedding's segments (Ceremony, Cocktail Hour, Dinner, Dancing & Celebration) reflect a ceremony-then-celebration format, while a corporate event's segments (Networking, Presentations, Dinner, Social Hour) reflect a business-program format -- the calculator swaps in the right segment set and durations for whichever Event Type you select.
How much longer is a Formal event than a Casual one at the same Event Type?
It varies by event type, and the calculator does not use a fixed multiplier -- each type has its own ladder. A Formal/Black Tie wedding runs 7 hours against a Casual wedding's 4.5; a Formal corporate event runs 5 hours against a Casual one's 2.75; a Formal gala runs 6.5 hours against 3.5; and a Formal birthday party runs 4.5 hours against 3. Switch the Formality Level and compare the generated timelines directly rather than assuming a fixed percentage increase, because which segments stretch is different for each type.
Should I treat these segment times as fixed, or build in buffer?
Build in buffer. This calculator estimates segment lengths from typical event structure and your chosen formality, but it doesn't know your guest count, whether the ceremony and reception are in different locations, or how long your specific venue needs to turn a room over between segments -- all of which commonly add real time. Use the generated timeline as a starting skeleton to review with your venue coordinator and vendors before finalizing.
