Event Budget Calculator

Break down your total event budget into recommended allocations for venue, catering, decor, photography, and more.

About this calculator

Planning an event usually starts with one number -- the Total Budget -- but turning that single figure into a working plan means splitting it across venue, food, decor, and everything else. This calculator applies a fixed set of allocation percentages keyed to Event Type: a wedding, for example, typically dedicates its largest shares to venue and catering, while a corporate event shifts more toward catering and entertainment/AV and less toward decor and photography. Per-Person Budget is simply Total Budget divided by Number of Guests, so it rises with a bigger budget and falls as more guests split the same money -- a useful quick check for whether your per-head spending is realistic for the type of event you're planning.

Number of Guests is completely inert against every category allocation (Venue, Catering, Decor & Flowers, Photography/Video, Entertainment/DJ, and Miscellaneous) -- those figures are all percentage slices of Total Budget determined by Event Type, not the headcount, so adding more guests changes your per-person spending power without reshuffling how the total is divided across categories. The percentages themselves reflect commonly cited event-planning guidelines rather than a single universal standard -- actual vendor quotes in your market, city, and season should always take priority over any rule-of-thumb split like this one.

Frequently Asked Questions

Does adding more guests change how my budget is split across categories?

No -- every category allocation (Venue, Catering, Decor & Flowers, Photography/Video, Entertainment/DJ, and Miscellaneous) is completely inert to Number of Guests across its full 10-1000 range. Those figures are fixed percentage slices of Total Budget set by Event Type; adding guests only changes Per-Person Budget, since the same total is now divided among more people.

Why does a wedding allocate its budget differently than a corporate event?

Each Event Type applies its own set of allocation percentages reflecting how that kind of event typically spends -- a wedding weights venue and catering the heaviest, while a corporate event shifts a larger share toward entertainment/AV and catering and a smaller share toward decor and photography, since corporate gatherings rarely need the same floral and portrait-photography investment a wedding does.

How much should I budget per guest?

Per-Person Budget rises directly with Total Budget and falls as Number of Guests grows, across the calculator's full ranges -- it's simply your total divided by headcount. There's no universal right answer for what that figure should be; compare it against real per-plate catering quotes and venue minimums in your area to see whether your total budget realistically fits your guest count.

Are these allocation percentages an official industry standard?

No -- they reflect commonly cited event-planning guidelines rather than one single universal standard, and actual proportions vary by region, vendor pricing, and personal priorities. Treat the breakdown as a reasonable starting point for a first draft budget, then adjust each category once you have real vendor quotes in hand.
