Destination Wedding Calculator

Compare destination versus local wedding costs including travel subsidies, guest accommodations, and per-guest impact.

About this calculator

This calculator compares a local wedding against a destination wedding at the SAME Guest Count for both options, isolating the cost difference that comes from venue, travel, and logistics choices rather than from inviting fewer people. Destination Total combines Destination Venue, Couple Travel, a per-guest travel subsidy (Guest Travel Subsidy times Guest Count), an assumed $50-per-guest welcome/activity cost, a coordination markup of 15% of the venue cost, and an assumed $100-per-guest catering rate typical of resort packages. Local Total is simpler: Local Venue + Decor plus an assumed $150-per-guest local catering rate. Because Guest Count multiplies through several destination-side terms (subsidy, welcome cost, and catering) but only one local-side term (catering), raising or lowering it can push the comparison in either direction depending on the gap between the built-in per-guest rates.

Savings is Local Total minus Destination Total, so a positive number means the destination option costs less overall. Guest Out-of-Pocket and Total Guest Burden estimate what guests still pay from their own pocket toward an assumed $1,500 average travel-and-lodging cost, after your Guest Travel Subsidy is subtracted. What it does not account for: in real planning, destination weddings usually save money mainly by drawing a smaller guest list (since travel is a natural RSVP filter) -- this tool holds Guest Count fixed across both options instead, so it isolates the pure venue-and-logistics cost difference rather than modeling the guest-list-shrinkage effect that often drives real-world destination wedding savings.

How to Use This Calculator
  1. Enter Local Venue + Decor ($) — the cost of venue, decor, and non-catering items for a local wedding.
  2. Input Destination Venue ($) and Couple Travel ($) for the destination option.
  3. Enter Guest Travel Subsidy ($ per guest) — the amount you will contribute toward each guest's travel costs.
  4. Set Guest Count to the number of guests attending the destination wedding (typically fewer than a local event).
  5. Review Destination Total vs Local Total to see the direct cost comparison.
  6. Check Savings, Per Guest cost for each option, and Total Guest Subsidies to make a fully informed decision.

Frequently Asked Questions

Why does raising Guest Count sometimes make the destination option MORE expensive?

Guest Count multiplies through three destination-side costs at once -- the per-guest travel subsidy, the assumed $50 welcome/activity cost, and the assumed $100 resort catering rate, for $350 of destination cost added per guest before any subsidy -- while it only multiplies through one local-side cost, the assumed $150 local catering rate. Once the built-in destination per-guest costs exceed the local per-guest catering rate, adding guests actually widens the gap in the local option's favor, which is the opposite of the popular assumption that destination weddings are automatically cheaper.

Why do Local Total and Destination Total use the same Guest Count?

This calculator is built to isolate the cost difference between venue and logistics choices at a fixed guest list size, rather than modeling the common real-world pattern where a destination wedding naturally draws fewer attendees because travel filters out some invitees. If you expect your actual destination guest list to be meaningfully smaller than what a local wedding would draw, run the calculator twice with different Guest Count values to compare those two distinct scenarios directly.

What does Guest Out-of-Pocket represent, and how is it calculated?

It's the gap between an assumed $1,500 average per-guest travel-and-lodging cost for a destination wedding and whatever Guest Travel Subsidy you're contributing per person, floored at zero so the reported burden never dips below zero. If your subsidy meets or exceeds that $1,500 assumption, Guest Out-of-Pocket reads zero, meaning your subsidy is estimated to fully cover a typical guest's travel costs.

Why does Savings sometimes come out negative?

Savings is Local Total minus Destination Total, so a negative value means the destination option is actually projected to cost more overall, not less. This happens whenever the combined destination-side costs (venue, travel, subsidies, welcome events, and catering) exceed the simpler local-side total at your entered Guest Count -- it's a real result of the underlying assumptions, not an error, and often signals that a smaller destination guest list is what would be needed to realize the savings many couples expect.
