About this calculator
Guest Count drives Estimated Total Cost more than any other single input, because it multiplies three separate line items at once -- Catering, Cake, and Invitations all scale directly with headcount, while Venue, Photography, Florist & Decor, DJ / Music, Attire & Beauty, and Miscellaneous stay flat regardless of how many people attend. That's also why Cost Per Person tends to fall as Guest Count rises: the fixed-cost vendor lines get divided across more guests, so a 200-guest wedding typically costs less per head than an 80-guest one even though its total is higher. Region acts as a multiplier layered on top of the base costs rather than a flat add-on, which is why it touches every single line item, including Invitations -- printing and calligraphy genuinely cost more in a metro just like every other vendor here. Region alone spans a 0.70x multiplier in a rural area up to 1.80x in a luxury metro like NYC, LA, or SF, more than a 2.5x swing on the same wedding.
Season, by contrast, only multiplies Venue and Catering -- the two line items tied to a specific date and headcount on that date -- and leaves the other seven untouched. Meal Type sets a fixed per-person catering rate that is NOT ordered from most to least formal: Cocktail Reception's lighter, passed-appetizer format is the cheapest per person, Buffet sits in the middle, and a fully Plated Dinner -- with its higher staffing and service requirements -- costs the most per guest. Venue Type sets a separate base cost before any multipliers apply, ranging from a Restaurant's lower baseline up to an Estate/Mansion's premium baseline.

Frequently Asked Questions
Why does Cost Per Person tend to go down as Guest Count goes up?
Several major line items -- Venue, Photography, Florist & Decor, DJ / Music, Attire & Beauty, and Miscellaneous -- are flat costs that don't scale with headcount at all. As Guest Count rises, that fixed portion of the budget gets divided across more people, pulling Cost Per Person down even while Estimated Total Cost itself keeps rising with every additional guest.
Which Meal Type is the cheapest option?
Cocktail Reception, at a base $35 per person, is the least expensive of the three meal styles in this calculator -- cheaper than Buffet ($45 per person) and well below Plated Dinner ($75 per person). Cocktail-style service uses passed appetizers and stations rather than a full seated or serve-line meal, which keeps both food and staffing costs lower.
How much difference does Region actually make to the total?
A large one -- Region is applied as a multiplier across nearly every vendor line item, from 0.70x in a Rural area up to 1.80x in a Luxury Metro like NYC, LA, or SF. That's more than a 2.5x spread on an otherwise identical wedding: guest count, venue type, meal type, and season all held constant, moving from Rural to Luxury Metro alone can more than double the estimated total.
Does Season affect every cost the same way?
No -- Season only multiplies Venue and Catering, at Off-Season (Jan-Mar) 0.80x, Shoulder (Apr-May, Nov) 0.95x, and Peak (Jun-Oct) 1.15x. The other seven line items don't respond to Season at all, but they aren't uniform either: Photography, Florist & Decor, DJ / Music, Attire & Beauty, and Miscellaneous scale with Region only, while Cake and Invitations scale with both Region and Guest Count. So Season's reach is real but narrow -- just two of the nine line items -- while Region touches all nine.
